Who we are
The Pet Portrait Studio (“we”, “us”) creates custom pet artwork.

We respect your privacy and are committed to protecting your personal data. This policy explains what we collect, why, how we use it, and your rights under UK GDPR and PECR.

1) What we collect

  • Contact details: name, email, phone (if provided), billing/shipping details.

  • Order details: products requested, artwork style, notes, approvals.

  • Photos you upload: images of your pet (and any other images you submit).

  • Payment info: we do not see full card details. Payments are handled by Revolut (your bank and Revolut act as separate controllers for payment data).

  • Communications: emails, messages, revision requests.

  • Website data: device/browser info, IP address, pages viewed, referring site.

    • Analytics (optional): if enabled, we may use Google Analytics or Squarespace Analytics for aggregated usage stats. See Cookies below.

2) How we use your data (purposes)

  • To provide services (create artwork, deliver files/products, customer support).

  • To take payment and issue invoices/receipts.

  • To communicate (order updates, revision requests, delivery notifications).

  • To operate, secure, and improve our website (debugging, analytics if enabled).

  • To maintain records for accounting and legal obligations.

3) Lawful bases for processing

  • Contract: to process your order and deliver your artwork/products.

  • Legitimate interests: site security, fraud prevention, customer service, limited portfolio/admin use (see below).

  • Consent: non-essential cookies/analytics, using your images in our marketing/portfolio (only if you opt-in).

  • Legal obligation: tax and accounting records.

4) Sharing your data

We share only what’s necessary with:

  • Payment provider: Revolut (payment processing and fraud prevention).

  • Website/hosting provider: Squarespace (site hosting, forms, performance).

  • Email/service tools: e.g., Google Workspace/Gmail (order communications).

  • Shipping/print partners: to produce and deliver physical products.

  • IT/security providers: to run the site securely.
    We do not sell your data. If required by law, we may disclose data to authorities.

5) International transfers

Some providers (e.g., Squarespace, Google) may store data outside the UK. We use vendors who implement appropriate safeguards (e.g., UK-approved Standard Contractual Clauses).

6) How long we keep data (retention)

  • Orders & invoices: 6 years (UK tax law).

  • Artwork files & proofs: typically 12 months from order completion (to help with reprints/reorders), unless you ask us to delete earlier.

  • Emails/enquiries: up to 24 months after last contact.

  • Analytics data: per provider defaults (e.g., GA4 14 months) if enabled.

7) Your rights

Under UK GDPR you can request: access, rectification, erasure, restriction, portability, and to object to certain processing. You can also withdraw consent (e.g., analytics, portfolio use) at any time.

8) Cookies

We use essential cookies to make the site work (security, basic functions). With your consent, we may use analytics cookies to understand site performance (pages visited, time on page). See the Cookie Notice below for details and choices.

9) Children

Our services are not directed to children under 13. Please do not submit children’s personal data.

10) Your photos & identifiable people

Please upload photos of pets only. If a photo includes identifiable people, ensure you have their permission to share it with us. You can ask us to delete any file you uploaded—email us any time.

11) Security

We use reasonable administrative, technical, and physical safeguards to protect your data. No system is 100% secure; please use strong passwords and avoid sending sensitive data by email.

12) Changes to this policy

We may update this policy from time to time. We’ll post the latest version on this page with a new “Last updated” date.
